The activity timeline

Back to the guide

The Timeline tab on a record is everything that has happened to it, newest first, in one list.

What appears

  • Notes, calls and meetings that anyone logged
  • Emails to and from the people on the record
  • Tasks created and completed
  • Changes — the record being created, a field being edited, a record being added to a list

Field changes show one line per field, with the old value and the new one. So "Stage: Qualified → Diligence" rather than a bare note that something was edited.

Filtering it

Chips at the top narrow it: All, Notes, Emails, Tasks, Changes.

Thirty entries load at a time, and Show older goes further back.

Company timelines roll up their people

An account's timeline includes what happened with every contact at that company, labelled with the person's name.

This is the feature that makes a CRM worth having. Open a company before a call and you see the whole relationship — who spoke to whom, what was said, what was promised — rather than having to visit four contact records and assemble it yourself.

Emails follow the firm's visibility setting

The timeline never shows more of an email than the Emails tab would. If your firm has chosen that colleagues see only sender and date, that is what appears here too.

Whoever connected a mailbox always sees their own mail in full.

What is not logged yet

  • Relationship changes. Moving a contact from one company to another is not recorded as a change.
  • Edits made automatically by the email sync are attributed to the application rather than a person, which is accurate but can read oddly at first.
