Tasks

Back to the guide

Tasks in the sidebar is every follow-up across every record, in one place.

Everyone can see tasks. Adding and completing them needs permission to write, so viewers can read but not change them.

Whose tasks

Switch between My tasks and Team, and within Team you can narrow it to one person.

Tasks belong to the team rather than to their author, which is why anyone who can write the CRM can edit one. Deleting is narrower: the creator, the assignee, or an owner or admin.

How they are grouped

Overdue Past their due date
Today Due today
Upcoming Due later
No date No due date set

A task due earlier today sits under Today, not Overdue. That is deliberate — a task due at 9am should not be shouting at you by eleven.

Adding one

Type a title in the quick-add box, optionally a date and an assignee, and press Enter.

For anything more — a description, a priority, a reminder time, or linking it to several records — add it from the composer on a record instead. See Notes, calls and meetings.

Completing one

Tick the checkbox. Untick to reopen it. Show completed lists finished tasks.

Tasks on records

Selecting a record name on a task opens that record.

A task can be linked to several records at once — a deal and the banker who sent it, for instance — and appears on each of them. There is one task, not copies, so completing it anywhere completes it everywhere.

Reminders

The bell in the top bar collects mentions, assignments and reminders, with a count of what is unread.

A reminder time on a task notifies its assignee once. Moving the due date moves the reminder with it.

A daily email lists your overdue tasks and the ones due today. If you have nothing due, you get nothing — the digest stays worth reading.

Follow-ups create tasks

Most tasks are not typed by hand. They come from Snooze and Follow up on a record, and from Remind me if no reply in N days when sending an email.

That last one completes itself if a reply arrives first, so you are not chased about something that already resolved. See Notes, calls and meetings.

What you cannot do yet

  • Repeat a task on a schedule.
  • Mention someone in a task description. Mentions work in notes.
  • See a "next task due" column on a table view.
