Writing and sending
Back to the guide
Send email appears on any record that has an email address, if your role can send. It opens a compose window in the bottom corner, which you can leave open while you look something up.
The window
From picks which of your own mailboxes to send from.
To, Cc and Bcc suggest matching contacts as you type, and each address becomes a chip. Type a full address that is not yet a contact and the list offers Create contact for …, which opens the New Contact form with the address filled in. Creating one needs a role that can edit the CRM; Cancel keeps the address as a plain recipient.
Message supports bold, italic, strikethrough, links, bulleted and numbered lists, and grey text.
Corner window or dialog. The expand button turns the corner window into a large dialog in the middle of the screen. Selecting outside it, pressing Escape, or moving to another page shrinks it back to the corner rather than closing it, so the email stays with you. The minimise button folds it into a small bar.
The app remembers which you used last.
Attaching files
Use the paperclip under the message, or drag files onto it, or paste them.
Each file uploads straight away and appears as a chip with its name and size. The email cannot be sent until every upload has finished. Select a chip's name to download it, or its × to remove it.
| Per file | 10 MB |
| Per email | 20 files and images |
| Total, Gmail | 15 MB |
| Total, Outlook | 2 MB |
Outlook's limit is much lower because of how Microsoft accepts mail sent this way. Larger Outlook attachments are not supported yet. If you go over, sending stops with a message saying what the files come to and what the limit is.
Programs and scripts that Gmail refuses — .exe, .bat, .js, .msi, .iso — are
refused as soon as you attach them.
A file you attach is yours alone. Colleagues cannot open or send it. Putting it on a template is what shares it with the firm.
Images in the message
Use the picture button, or paste or drag an image in. It goes where the cursor is.
The image travels inside the email, so the recipient sees it without having to allow images from elsewhere. Select an image and press Delete or Backspace to remove it.
PNG, JPEG, GIF and WebP go inline. Other types, such as SVG or HEIC, are attached as files instead.
An image that is only a link to another site — as in text copied from a web page — is not kept. Every image in an email is one uploaded here, so nothing in your email loads from somewhere else.
Variables
Type { or press the {} button to insert a field from the recipient's record, such
as { Name › First }, { Job title } or { Account › Name }.
Each is filled in for the person you are writing to. Their contact is found by email address, and account fields come from the linked company. You only ever get values from records you are allowed to see.
Select a field to give it a fallback, used when the CRM has nothing. Fields without a fallback show yellow; with one, blue.
Typing { then Escape gives you a plain brace.
Review email previews it exactly as the recipient will get it, images included, and warns about anything that would be blank or an address not in the CRM. Attached files are listed underneath.
Replying in the last conversation
Write to someone you have emailed before and the window finds your most recent conversation with them. A strip under the subject says which one.
The email is then sent as a reply to it: the subject becomes that conversation's "Re: …" and cannot be edited, your last email is quoted below yours, and it threads properly in both inboxes.
This is on by default. Start a new conversation turns it off and opens the subject box again.
Only people who are contacts have conversations to find, and emails you are not allowed to open never count.
Reply, Reply all and Forward
Open a logged email by selecting its subject. Underneath are Reply, Reply all (when more than one other person was on it) and Forward.
- Reply goes to the sender, or to the recipients if your side sent it
- Reply all adds everyone else who was in To and Cc. People in Bcc are never added, nor your own addresses
- Forward starts with nobody in To and a subject you can change, and begins a new conversation
Replies use "Re: …" which cannot be changed, so they land in the same thread.
It sends from the mailbox the email arrived in, when that is one of yours; you can pick another in From.
Not available on a reply or forward: mass sending, and forwarding the original's attachments. The quoted text is the email as shown here, so a long one may be shortened and earlier quoted replies inside it are not included.
Follow-up reminder
Remind me if no reply in N days, from 1 to 60, creates a task due that many days after you send.
If a reply arrives first, the task completes itself and the timeline notes it.
Mass sending
Tick Mass sending to send one email to several people as separate copies.
- Up to 50 people per send
- Each gets their own copy with their own variables filled in
- Review email (N) shows every person's copy before anything is queued
- Copies go out 1 to 9 minutes apart, at random, so a batch reads like a person sending rather than a blast
- Cc and Bcc go on every copy, at most 10 between them, as do files and images
- Reply in each person's last conversation is on by default and sends each copy into that person's own thread. People you have not emailed get a new email with your subject
Sending to several people with variables requires mass sending.
From a table or list: select rows and press Send email in the selection bar. Contacts are emailed directly; companies, deals and other objects ask which linked people to email. People without an email address are left out and counted, and records you cannot see are never included.
