Records
Back to the guide
Adding one
- Open the object in the sidebar, for example Accounts.
- Select the button to add a record.
- Fill in the fields and save.
As you type into a field that identifies a record, such as an email address or a company domain, you are warned if an existing record already has that value. See Finding duplicates.
Viewers cannot add records.
The table
Records are listed newest first, one page at a time.
Paging sits at the right of the row with Filter, and reads as a range such as 101–200 of 5,508.
- The arrows move a page back or forward. The table returns to the top and any selected rows are cleared.
- Selecting the range opens a box. Go to page jumps straight to a page number.
- Rows per page offers 25, 50, 100, 250, 500 and 1,000. The table keeps you near the record you were looking at rather than throwing you back to the start.
- Save as my default fixes that size for you, on every object and list, on every device. Until you set one it is 100. Each person has their own.
On an object table the page is part of the address, so Back from a record returns you to the page you were on, and you can bookmark it. Searching, filtering or switching views starts again from page 1.
Large pages stay quick because only the rows on screen are drawn.
Editing
In the table: select rows, then edit cells in place. Relationship fields holding several records are the exception and are edited on the record itself.
On the record: open it and edit the fields directly.
Adding a field: if your role allows it, you can add an attribute straight from the table rather than going to settings first.
The record page
Fields at the top, then four tabs:
- Timeline — everything that has happened, newest first
- Notes — notes, calls and meetings, pinned ones at the top
- Tasks — open tasks first, then completed
- Emails — correspondence logged against this record
The header also offers Snooze and Follow up, which create a task against the record. See Notes, calls and meetings.
A company page rolls up its people, so an account's timeline includes what happened with each contact there, labelled with their name.
Deleting
Select rows and delete, or delete from the record page. Deleting is permanent.
What you cannot do yet
- Export CRM records to CSV from these screens. The banker directory has its own export.
- Sort every record by a column. Sorting applies to the page you are on; records are paged newest first.
- Keep a selection across pages. Moving pages clears it.
- See a kanban board of every record. A kanban on an object shows the current page.
- Set page size per object or per view. It is one preference per person.
