Building a report

Back to the guide

Open a dashboard and select Add report. Settings on the left, a Preview on the right that updates as you change anything.

The settings

Name — what it is called on the dashboard.

Records — which object to report on.

Measure — what each number means:

Number of records How many
Total [field] The sum of a number or money field
Average [field] The average, over records that have a value

Group by — how to split the records:

  • Nothing (one total) — a single number
  • Any select, status, multiselect, checkbox, person or text field
  • Created by — one row per colleague
  • Month created or Week created — one bar each, oldest first

Three details that catch people out:

  • Select fields list every option, including ones with no records, plus a No value row when some records have none
  • A multiselect counts a record under every option it holds, so bars can add up to more than the number of records
  • Text fields show the 24 largest values and lump the rest into Other

Created — any time, or only records created in the last 7, 30, 90 or 365 days.

Filters — optional. Choose a field, a condition such as is, contains or is empty, and a value. Add condition for more, then Done. These are the same filters as on record tables. Escape closes only the filter panel.

Show as — Single number, Bar chart, Column chart or Table. Choosing a Group by picks a sensible one for you; change it if you disagree. Column charts suit months and weeks.

Width on the dashboard — Half, so two sit side by side on a wide screen, or Full.

Then Save report. It appears at the end of the dashboard. Cancel or Escape leaves without saving.

Editing

The pencil on a report reopens it with its current settings. Change anything and save again.

A note on totals

Currencies are not converted. A total of a money field adds the amounts as they are, so a mix of currencies is summed together as though they were one.

If your firm deals in more than one currency, either filter to one at a time or treat those totals as indicative only.

What you cannot do yet

  • Drag reports to reorder. Use the arrows.
  • Pie or line charts, or more than one measure in a report.
  • Group by a relationship field, such as Account, or by any date other than when the record was created.
  • Filter the date range on anything but the created date.
  • Share a dashboard with specific people. It is private or the whole firm.
  • Copy a report to another dashboard, or export one to CSV.
