Notes, calls and meetings

Back to the guide

Under the fields on any record is a composer. It is where everything that happened with that company or person gets written down.

Viewers can read all of this but cannot add to it.

Logging something

  1. Open the record.
  2. In the composer, choose Note, Call or Meeting.
  3. Write it and save.

Calls and meetings are notes with a label. They are stored the same way and differ only in how the timeline shows them, which is enough to make a timeline readable at a glance months later.

Mentioning a colleague

Type @ and pick a name. They get a notification and can open the record from it.

Mentions work in notes. They do not work in task descriptions yet.

Pinning

Pin a note and it stays at the top of the Notes tab. Useful for the thing a new person needs to know first: who introduced you, what the owner wants, why you passed last time.

Editing and deleting

You can edit, pin and delete your own notes. Owners and admins can change anyone's.

Tasks

The same composer adds tasks. A task has a title, an optional description, a due date, a priority, an assignee (yourself by default) and an optional reminder time.

A task can be linked to several records at once — a deal and the banker who sent it, say — and shows on each of them.

Follow-ups

The part sponsors use most. Each of these creates a task against the record.

Snooze and Follow up in the record header offer Tomorrow, In 3 days, In 1 week, or a date you choose. The task is due at 9:00 your time and reminds you then.

Remind me if no reply in N days appears in the send-email dialog, from 1 to 60 days. The task is due that many days after you send.

That last one has a detail worth knowing: if a reply arrives first, the task completes itself, and the timeline notes that a reply came in. You are not chased about something that already resolved.

With Gmail the thread is known at the moment you send. Outlook does not report it then, so until the sent copy syncs a reply is recognised by coming from one of the people you wrote to with the same subject.

Reminders

The bell in the top bar collects mentions, assignments and reminders, with a count of what is unread. Selecting one opens the record.

A reminder time on a task notifies its assignee once. Moving the due date moves the reminder with it.

A daily email lists your overdue tasks and those due today. People with nothing due get nothing.

What you cannot do yet

  • Repeat a task on a schedule.
  • Mention someone in a task description.
