Help text, default values, dependent options and percentages
Back to the guide
Four settings make fields easier to fill in. Owners, admins and analysts set them in Settings → Objects; everyone who adds or edits records sees the result.
Open a field's settings
- Click your firm's name at the top left, then Settings, then Objects under CRM, then the object, for example Accounts. For a field that belongs to a list, open the list and click Configure list (the pencil icon) instead.
- Click the pencil at the right of the field's row (its label is Edit). To set up a new field, click Add attribute.
Help text
- In the field's window, type a sentence in Help text, such as The type of firm, as they describe themselves. (up to 300 characters).
- Click Save or Add.
A small question mark, the help icon, now shows beside the field's name in the New window, on the record page and in the table's column header. Rest the pointer on it to read the text. Empty the box and save to remove it.
Default values
- In the field's Edit window, fill in Default value using the field's own input: a number, some text, an option, a date, or a ticked checkbox.
- Click Save.
New records now start with that value. The New window shows it already filled in, so you can change or clear it before clicking Create. Imports without that column, the API, forms and the email sync use it too. Existing records do not change.
Options that depend on another field
Use this when one field narrows another, such as Organization type, where only a few of thirty types fit each Category.
- Open the Edit window of Organization type.
- Tick Options depend on another field and choose Category.
- Under When Category is Lender, click the box and choose the types that fit, such as Bank and Credit fund. Do the same for each category. A category with nothing chosen offers every type.
- Click Save.
Now Organization type offers only the types that fit the record's Category, in the New window, on the record page and in the table. Changing Category clears a type that no longer fits. Imports are not checked, and the Category field must be a Single select or Status.
Percent fields
Choose Percent as the type when adding a field, or turn a Number field into one
with Change type (25 stays 25 and shows as 25%). Type 25 for 25%; pasting
or importing 25% works too. In a formula, a percentage counts as a fraction, so
{Value} * {Probability} gives the weighted value.
What you cannot do yet
- A field's options can depend on one Single select or Status field only.
- A default cannot be worked out, such as today, and Date and time, Workspace user and relationship fields cannot have one.
- Help text is plain text, without links.
